WhatsApp Business CRM checklist for growing teams

Prepare the account, operating rules, team roles, and escalation workflow before moving customer WhatsApp conversations into a CRM.

Confirm the account and number

Identify the business that owns the number, the connection type, and the people authorized to administer it. Record whether the implementation uses Meta Cloud API or a disclosed linked-device workflow. Do not begin by sharing unrestricted credentials across a team.

Prepare the operating checklist

  • Define the conversations the number will handle.
  • Record how recipient authority, consent, and opt-outs are maintained.
  • Review applicable templates and messaging windows.
  • Decide who can send broadcasts and who can change the connection.
  • Match incoming conversations to customer records carefully.
  • Define response ownership, service hours, and escalation targets.
  • Test delivery, failure, retry, and duplicate-event behavior.
  • Establish how a device or credential will be rotated or revoked.

Design shared history deliberately

The CRM should show enough context for the next authorized person to continue. That may include prior messages, calls, notes, tickets, and approved order or appointment context. It should not expose unrelated data simply because an integration can access it.

Define automation boundaries

List routine questions that have an approved answer and a reliable source of data. Then list requests that must go to a person: complaints, uncertainty, sensitive changes, unsupported actions, and direct requests for human help. A useful automation has an obvious exit, not an endless loop.

The AI handoff guide provides a step-by-step escalation model.

Common mistakes

Avoid treating WhatsApp as a bulk address list without recipient rules. Do not promise that every message will be delivered, since account state, templates, service windows, recipient state, provider availability, and network conditions can affect delivery. Do not let customer context remain visible to former users or retired devices.

Test before launch

Run inbound and outbound messages with new and existing customers. Test a template, a service conversation, an opt-out, an unsupported request, a handoff, a failed delivery, and connection loss. Confirm that each event appears once and that the assigned person can understand the history.

Frequently asked questions

Can WhatsApp replace every other channel?

Choose channels according to customer needs and operational requirements. Some teams retain SMS or calls for particular workflows.

Should every user administer the connection?

No. Restrict configuration and credential access to the roles that require it.

Can AI be enabled immediately?

First define data sources, approved replies, failure behavior, and human handoff. Then publish a tested workflow.
